1. Introduction:

The document evaluation process can be quite exhausting for students applying to a foreign university, particularly in the United States or Canada, as I discovered.

WES requires students or the university to submit their undergraduate degree programme transcripts, either electronically or by mail.

However, because some universities do not have a relationship with WES and there is very little information on the web, this process is difficult.

The purpose of this article is to help students at the University of Pune (SPPU) or any other university that does not have a relationship with WES.

2. Getting transcripts:

For SPPU students, physical transcripts are required by WES to complete the evaluation process. As a result, you need to obtain your transcripts by applying on SPPU’s web portal, submit the required scans, and have the transcripts physically delivered by India Post.

Because this entire process can take up to 60 days, it is better to apply for transcripts in September if applying for MS programs in October.

The link to apply for transcripts is here. (Login required)

It is best to obtain multiple copies of transcripts when applying (2 or more). This is due to the fact that each transcript copy comes in a sealed envelope that can be sent directly to universities that only require transcripts and not WES evaluation.

3. WES application process:

WES is an organisation that evaluates the legitimacy of your documents as well as converts your GPA course by course based on the country to which you apply. The entire WES procedure is as follows:

  1. Login to WES and start an application
  2. Fill in your details
  3. Select the universities to send the WES evaluation report.
  4. Pay the fee and get a reference number
  5. Upload your degree certificate and CV
  6. Send the remaining required documents to WES
  7. After receiving, WES will verify the documents, update the status of your application and send the evaluation reports to the respective universities.

4. Sending transcripts:

There are three ways one can send their documents to WES.

  1. Your university electronically (email) sends your documents to WES
  2. Your university sends the attested documents in a sealed envelope directly to WES
  3. Your university gives you the required attested documents in a sealed envelope which you further mail to WES by post.

If your university follows steps 1 or 2, all you have to do is notify them.

However, other university students (like SPPU) need to follow step 3 to send their documents.

Once you obtain your transcripts (Section 2) and receive the WES reference number (Section 3), download and fill this document waiver form.

Take these documents to the Examination Centre at SPPU and go to the transcripts office to submit them.

After an hour or so, the department will give you a sealed envelope which include your transcripts and the waiver form signed by the Controller of Exams.

After receiving the envelope, write the address of the WES documentation centre (Address given on the WES website for “By Postal mail”) and your reference number on the envelope and go to the university Post Office to send it to Canada.

It’ll take 7 to 10 days for your documents to reach the destination.

After that it’ll take a week for WES to evaluate your documents and send it to your chosen universities.

5. Time Taken:

Receiving university transcripts: 60 days

WES application and posting sealed envelope: 1 day

Documents reach WES centre: 10 days

WES evaluation: 7 days

Destination universities receive documents: 7 to 10 days

Total: Around 88 to 90 days or 3 months, so plan accordingly.

6. Conclusion:

In this article, we saw how to send your transcripts to WES Canada for students of University of Pune or universities with no tie-up with WES.
